JOB DESCRIPTION – Administrative Assistant


The city of Marion is seeing an Office Assistant for The Pavilion.  The ideal candidate is able to work with minimal supervision; can handle clerical tasks; must be good with the public and must be detail oriented.  This is a full-time, non-union, non-except position.  Candidate must be available to work some nights, weekends and Holidays, as needed based on the service needs of the public.  The city of Marion is an equal opportunity employer.  City of Marion Benefits apply and will be discussed in the interview.  This is an Entry Level Position.  Pay range is $12 – $13 per hour.

Job Qualifications for Administrative Assistant:


  • Bachelor’s Degree preferred.  A combination of education, skill and experience will also be considered
  • Must be able to work without constant supervision
  • Must be detail orientated
  • Must have excellent communication and organizational skills
  • Must have working knowledge of computer and various programs
  • Must be proficient in Excel and Word
  • Must be able to multi-task, redirect focus quickly and smoothly between projects
  • Must be able to work well in a fast paced environment
  • Must have general knowledge of basic office policies and procedures
  • Must be able to work under pressure while focusing on being detail oriented
  • Must be able to perform basic arithmetic to keep accurate financial records
  • Must be available to work evenings, weekends, and holidays, based on facility needs
  • Must have experience working with the public
  • Must complete post-offer of employment requirements such as drug screen and residency

Job Duties for Administrative Assistant:

  • Maintain a positive, empathetic and professional attitude at all times
  • Provide extraordinary customer service
  • Manage numerous cash funds
  • Prepare deposits
  • Prepare and maintain financial and operations reports
  • Mange social media accounts and website
  • Communicate with customers and the public in various channels, including but not limited to, in person, through email and phone calls
  • Process rental agreements
  • Coordinate client and facility needs with vendors
  • Build and maintain professional relationships with clients, colleagues and the public
  • Prepare invoices, reports, memos, letters, financial statements, and other documents, using word processing, spreadsheet, database, or presentation software
  • May prepare and maintain a variety of confidential records and files
  • Assist with company projects by compiling information and formatting reports, graphs, tables, records, and other resources
  • Schedule and maintain calendar for upper management and prepare for company meetings/events
  • Build and maintain professional relationships with clients, visitors, and colleagues
  • Ensure customer satisfaction and provide professional customer support
